5. Telephone Calls Answered by Oliver
Calls placed to (980) 458-8840 are answered by Oliver, an automated wellness advisor. These calls may be recorded and transcribed. Callers are told this at the start of every call.
We record and transcribe calls in order to respond to customer questions, to send booking information that a caller has asked for, to handle callback requests, for quality assurance, and to maintain customer-service records. We do not use call recordings or transcripts for advertising, and we do not sell them.
A recording or transcript may contain your name, your telephone number, your email address, and any other information you choose to give during the call, including what you tell us about your wellness goals. Please do not share information during a call that you would not want recorded.
Where this information is held. The audio recording, the transcript and a short written summary of each call are held by our voice platform provider. A copy of the transcript, summary and call details is also stored in the DNA Global Herbs website database on our web hosting, and is emailed to our own sales@dnaglobalherbs.com mailbox.
Who can see it. Access is limited to the owner of DNA Global Herbs LLC and to staff who need it to answer a customer enquiry or handle a callback. Viewing call records on our website requires an administrator login.
Service providers who process it. We use Vapi to provide the telephone number and to handle, record, transcribe and store the call; Deepgram to convert speech to text; OpenAI to generate Oliver’s responses during the call; Hookdeck to pass completed call records between systems; and Hostinger, which hosts our website and its database. These providers process this information on our behalf and under their own privacy terms.
How long we keep it. Audio recordings of calls are kept for 12 months from the date of the call. Written transcripts and call summaries are kept for 24 months. At the end of those periods they are deleted. You can ask us to delete yours sooner at any time, as set out below.
Asking us to delete a call. You may ask us to delete the recording and transcript of any call you have made. Email contact@dnaglobalherbs.com with the telephone number you called from and the approximate date and time of the call. We will confirm once it has been deleted. You may also ask for a copy of what was recorded, using the same address.
Conversations with Oliver in the chat window on our website are not recorded as audio and are not stored in our call records.
